Sales Agreement Policies

CANCELLATIONS

To cancel your reservation you must give us advance notice of seven days prior to the date of the reservation by phoning or sending an email or a fax.  You will be given a cancellation number to confirm that the reservation was cancelled.  When adverse weather conditions affect travel in our area, we may elect to waive the advanced notice requirements and cancellation penalties.

 

CANCELLATION FEE

If the reservation is not cancelled at least seven days in advance, the person who guaranteed the reservation will be responsible for paying 50% of the total guaranteed meal cost or a minimum charge of $200.00, whichever is greater.  A credit card will be required to guarantee the reservation. 

During Maifest/Pella week and Oktoberfest groups will be required to pay a $200 deposit when making their reservation.  In the event of cancellation, the entire deposit will be forfeited.

 

BANQUETS

  • Guaranteed Number of Guests:  We will charge for the guaranteed number of guests or the actual number; whichever is greater.  For groups not ordering a pre-priced menu, the charge for each guest less than the guaranteed number is $10.00 for lunch and $18.00 for dinner.
  • Guest Count and Menu Changes:  A minimum forty-eight hour notice in advance of reservation date must be given for changes regarding the number of guests and/or menu selections.
  • Private Room Charges:  We will charge $100 for groups requesting a private room if they have less than 20 paid meals.
  • Tipping: The tip is not included in our banquet pricing.  (Prior to 2014, when the IRS changed the handling of service charges, we charged a 17% service charge.)  A tip in the range of 15-20% is customary.


MOTOR COACH TOUR GROUPS

  • COMPS - For motor coach tour groups of 20 or more paid meals, one tour director and one motor coach driver per coach will be provided with complimentary meal service.
  • Tour Guide Waiting Charge – If your group is running late, please notify us as soon as possible.  If we have not been notified, our tour guide will wait up to one hour after the scheduled arrival time.  There will be a $25.00 per hour late arrival fee assessed beginning at the start of the second hour.

 

SPECIAL NEEDS

Please notify our Group Sales Manager in advance of any special needs such as guests who cannot use stairs, and/or use wheelchairs, electric carts, walkers, hi-chairs, booster chairs, baby car seat/carriers, and/or have dietary restrictions.

 

TAX EXEMPT

If your organization is exempt from sales tax, you must provide us with a copy of your Iowa Sales Tax Exemption Certificate with your tax ID number BEFORE your reservation date.

 

METHOD OF PAYMENT

We accept cash, Ox Yoke Gift Cards, MasterCard, Visa, Discover and American Express Cards.  Payment is expected at the time of service.  Groups who wish to request invoicing must be approved in advance of the reservation.
